Job Summary: The position will support compliance and procedures in human resources activities through monitoring of local, state and federal laws and regulations. The incumbent operates varying degrees of responsibility for compliance with reporting requirements related to managing compliance for all Employee Universe clients. The incumbent will also assist with the evaluation, analysis, and administration of HR technology that aligns with Flex HR (FHR) strategies and takes into consideration compliance of local laws and regulations, and market competitiveness to enhance and improve their impact on the business.

 

Job Responsibilities: 

  • Oversee Compliance rules for all clients that we administer HR Services. Samples of items are FMLA, EEO1, Vet Reporting, 401K, Leave Management, paid and unpaid leave for all states, , (note this is not an complete list and others may be added)
  • Lead and fully execute key initiatives that support FHR compliance strategy.
  • Part of the Implement Team for new clients to ensure compliance for each specific client are being considered and completed
  • Must ensure activities are in compliance with all state and federal employment laws and regulations (e.g., FMLA, ADA, State Leave Acts, EEO and FLSA).
  • Leads projects for system updates including creation of the project plan, runs regular status meetings, ensures full testing and the training of system users.
  • Will be part of the Team on new employee orientation and on-boarding process, coordinating with other internal departments to ensure a smooth and streamlined process of learning and understanding compliance.

  • Audit and oversee the CCDS updates related to FHR clients.
  • Creating new CCDS for all new client that come on board with EU to kick start new clients and to set formatting standards properly for the start.
  • Audit all client ACA’s after completed to ensure the accuracy of the 1094/1095 and ensure they are submitted in a timely manner.
  • Oversees the reconciliations of all vendor billings pertaining to clients (IE: S2Verify, Core ID), and work with vendors if corrections are needed.
  • Ensure reconciliations are completed each month and audit 2-3 accounts per month.
  • Prepare and keep up to date the monthly EU employee head count report.
  • Responsible for auditing all client Web Portals.
  • Develop and maintain successful working relationships with the employees, management team and clients to provide effective benefit and enrollment support.
  • May need to go on client sites for prospect meetings, implementation of our virtual HR department or HR management assistance.
  • Train others on law compliance as needed or new changes occur.
  • Serves as back up for Client Success Managers as needed.
  • Keep a summary schedule on open enrollment 6 months out.
  • Work with Sr. VP on documenting and writing process & procedures.
  • Manager the internal Flex HR Benefits, website, reconciliations etc.
  • Prepares update reports as required
  • Responsible for completion of special projects as assigned throughout the year by management.

 

Job Requirements: 

  • A minimum 2-5 years of Human Resources Generalist, HR Operations Ability to effectively manage multiple projects with overlapping tasks and work independently with minimal supervision.
  • Be detail and deadline oriented, with strong critical thinking and organizational skills.
  • Exceptional interpersonal and client service skills
  • Team player with the ability to collaborate with others
  • Strong skills in PowerPoint/Excel/Word.

Payroll Specialist

Job Summary: The Payroll Specialist performs payroll-related functions, including payroll processing, payroll tax compliance, automated timekeeping systems and payroll reporting in a multi-site, multi-state, high-volume environment. The Payroll Specialist provides excellent customer service to managers and associates and is well versed in payroll compliance, taxes and reporting.

 

Job Responsibilities:

  • Prepare and submit payroll.
  • Follow appropriate workflows and procedures for the operations department.
  • Ensure all employees are paid on time via live check or direct deposit.
  • Screen time-worked inputs for calculating, coding, or other errors.
  • Calculate and process Federal & State tax and social security with-holdings along with other deductions. including insurance, benefits, 401(k) contributions and company match.
  • Review and process payroll adjustments, including vacation, sick and other time off.
  • Collect banking information for direct deposit setup and initiate deposits on paydays.
  • Maintain knowledge of rules and laws which govern payroll administration practices including taxation, benefits, and state & federal regulations.
  • Ensure that payroll-related transactions are processed in compliance with external and internal policies.
  • Perform actions necessary to track and determine regular and overtime pay, and factors commission-based income or bonuses into an employee’s salary.
  • Assisting HR Department with Open Enrollment by manually entering new elections.
  • Process and monitor garnishment orders and other issues that impact payroll specifications.
  • Processing all employee terminations and are completed in the payroll system.
  • Generate accrual entries as needed.
  • Reconcile errors and maintain/document all payroll records.
  • Reconcile general ledger regarding payroll transactions.
  • Detect and process issues related to uncollected payroll.
  • Responsible for double checking all new hire information, and existing employee changes before every payroll run.
  • Handle all tax change requests in the payroll systems.
  • Field and respond to payroll inquiries and resolves discrepancies.
  • Must use their cell phone to monitor Client needs including uploading Flex HR emails to their phone.
  • Other assignments & project assigned by management.

 

Job Requirements:

  • Associate degree in accounting or business administration or
  • Minimum of 2-3 years of high-volume payroll related experience.
  • Benefits Administration
  • Knowledge of Certified Payroll Processing Requirements
  • Experience running payroll within multiple US States
  • Demonstrated excellence in customer service and written communications
  • Excellent Excel & report writing skills
  • Payroll knowledge necessary for this position.
  • Experience with multiple payroll platforms is helpful.
  • Evolution and PayMatrix payroll systems experience a plus.
