Job Summary: The payroll tax specialist performs payroll tax-related functions, including tax notice research, audit, and resolution, fields payroll tax compliance questions from internal and external stakeholders, and reviews payroll reporting in a multi-site, multi-state, high-volume environment. The payroll tax specialist provides excellent customer service to managers and associates and is well versed in payroll compliance, taxes and reporting.

 

Job Responsibilities:

  • Set up income tax withholding, unemployment, and other employer payroll tax accounts for various states and municipalities for clients.
  • Research and resolve payroll tax notices, including calling state and local tax agencies to discuss with revenue or unemployment insurance agents.
  • Audit payroll platforms and state tax portals to ensure all tax account information is complete and employer tax returns and payments are filed in a timely manner.

  • Build relationships with Flex HR clients and vendors.
  • Provide detailed knowledge of multi-state employer tax law to clients.
  • Be organized, detail-oriented, and self-managed to oversee and follow up on outstanding tax notices with the appropriate agency, payroll platform, or key stakeholder.
  • Work with the accounting department within a client to ensure that the coding is correct for the general ledger.
  • Handle all tax change requests in the payroll systems.
  • Follow appropriate workflows and procedures for the payroll tax department.
  • Maintain knowledge of rules and laws which govern payroll administration practices including taxation, benefits, and state & federal regulations.
  • Ensure that payroll-related transactions are processed in compliance with external and internal policies.
  • Reconcile errors and maintain/document all payroll records.
  • Reconcile general ledger regarding payroll transactions.
  • Use cell phone to monitor client needs including uploading Flex HR emails to their phone. • Other assignments & project assigned by management.

Specific Job Requirements:

  • Minimum of 2-3 years of high-volume payroll tax related experience.
  • CPA firm or state tax agency experience a plus.
  • Experience running payroll within multiple U.S. states a plus.
  • Demonstrated excellence in research, customer service, and written communications.
  • Excellent Excel & report writing skills.
  • Experience with multiple payroll platforms is helpful.
  • ADP, Paycor, Quickbooks, NetChex, Paycom and Paylocity payroll systems experience a plus.

Job Summary: The HR Manager provides customer service and HR operational support to our clients. This position will be the point of contact for the HR department. The HR Manager will provide outstanding service to our clients and their employees, and be a team-oriented player within our Flex HR team. The HR Manager will also support activities related to personnel actions, ensuring the availability of collateral materials and files to support activities such as offer letters, on-boarding, new hire orientation, and terminations.

 

Job Responsibilities:

  • Help new employees with the onboarding process, providing great employee experience. The current new hire onboarding process includes the following:
    a) Offer letters and other paperwork
    b) Onboarding through the HRIS platform
    c) New hire orientation

  • Help employees with benefit enrollments for all clients’ employees.

  • Help clients with terminating their employees, including filling out necessary forms by state and being a witness to a termination call.

  • Lead quarterly reviews for your clients. Be willing to provide exemplary service for your clients and their employees.

  • Help with HSA/FSA with making requested changes by the employee. This includes working with the vendor when requested to make any changes with the banks.

  • Help with 401K rollover and distribution request by guiding new employees or former employees in the direction needed to be compliant with appropriate paperwork.

  • Create high quality customer interactions by offering creative solutions which solve customer and agent problems while reducing the customer effort.

  • Take ownership of client and employee issues and present solutions to solve client and employee concerns/issues related to employee situations.

  • Adapt to the specific needs and concerns of clients and employees in order to build strong relationships for FHR specified business needs.

  • Demonstrate a high degree of professionalism in all interactions.

  • Act as a liaison with other departments to resolve problems.

  • Maintain a willingness to take on other responsibilities assigned by management.

  • Get access to various payroll and HRIS platforms and be adept at working in those systems

  • 3-5 years of experience preferably as an HR Manager supporting multiple duties in a similar role.

  • Be able to work in a high energy, fast paced environment to provide ease of doing business while delivering high quality and exceptional service.

  • Demonstrate strong discipline to prioritize and manage workload including balancing the time between calls and processing paper requests.

  • Salesforce experience is a plus.

Job Summary: The Payroll Manager performs payroll-related functions, including payroll processing, payroll tax compliance, automated timekeeping systems and payroll reporting in a multi-site, multi-state, high-volume environment. The Payroll Manager provides excellent customer service to managers and associates and is well versed in payroll compliance, taxes and reporting.

 

Job Responsibilities:

  • Prepare and submit payrolls for multiple clients, managing a portfolio of 6-12 clients. In some cases, you might be required to work with 1-5 larger clients that have more specific needs.
  • Follow appropriate workflows and procedures for the payroll department.
  • Ensure all employees are paid on time via live check or direct deposit.
  • Screen time-worked inputs for calculating, coding, or other errors.
  • Calculate and process Federal & State tax and social security with-holdings along with other deductions including insurance, benefits, 401(k) contributions and company match.
  • Review and process payroll adjustments, including vacation, sick and other time off.
  • Collect banking information for direct deposit setup and initiate deposits on paydays.
  • Maintain knowledge of rules and laws which govern payroll administration practices including taxation, benefits, and state & federal regulations.
  • Ensure that payroll-related transactions are processed in compliance with external and internal policies.
  • Perform actions necessary to track and determine regular and overtime pay, and factors commission based income or bonuses into an employee’s salary.
  • Assist HR Department with open enrollment by manually entering new elections.
  • Process and monitor garnishment orders and other issues that impact payroll specifications.
  • Processing all employee terminations and are completed in the payroll system.
  • Generate accrual entries as needed.
  • Reconcile errors and maintain/document all payroll records.
  • Reconcile general ledger regarding payroll transactions.
  • Detect and process issues related to uncollected payroll.
  • Responsible for double checking all new hire information, and existing employee changes before every payroll run.
  • Handle all tax change requests in the payroll systems.
  • Field and respond to payroll inquiries and resolves discrepancies.
  • Must use their cell phone to monitor Client needs including uploading Flex HR emails to their phone.
  • Other assignments & project assigned by management.
