Do We Make You Switch Payroll Platforms or Benefits Brokers?

No. We work inside whatever you already use. Flex HR does not own your employee relationship, and we do not push you onto our preferred payroll system or our preferred benefits broker. If your team runs on ADP, Gusto, Paylocity, Rippling, UKG, or Paychex, we run on it too. If you have a benefits broker you trust, we coordinate with them directly.

What Does Working With Flex HR Feel Like?

Plenty of HR vendors hand you a template and a login and call it service. Flex HR does the opposite. Your assigned part time basis professionals build the handbook, run the payroll, set up the tax codes, and coordinate open enrollment, then bring you the finished work to approve. We will not drop a 40-page compliance project in your lap and ask you to fill in the blanks. Onboarding runs over three weeks. We gather your HR and payroll details into a Core Company Data Sheet so your assigned team steps into a working department, not a half-built one. If something breaks, you reach a real person who is your fractional HR Manager.

How Does Flex HR Keep You Compliant Across Every State Where You Operate?

A company with employees in three states can face three different legal obligations for a single event like a termination or a leave request. Most handbooks never address that. The gap stays invisible until a triggered event exposes it, and by then the cost is real.

We track employment law the way it actually behaves, by trigger point. A trigger point is any employment event that switches on a different set of legal obligations: a hire, sick leave accrual, a leave of absence, a final paycheck, a wage notice. Flex HR maintains a state compliance spreadsheet covering all 50 states, Washington D.C., Puerto Rico, the U.S. Virgin Islands, and the city ordinances that stack on top, across more than 80 compliance points per state. When you hire in a new state, we already know what changes.

Most firms handle multi-state compliance with addendums. A California addendum, an Illinois addendum, a New York addendum, each one its own document. State legislatures pass new employment laws all the time, so an addendum is out of date close to the day it prints. Employees in different states end up holding different documents, which creates its own grievances.

We write handbooks differently. One handbook covers every state. At each trigger point we add a single line: the policy applies unless you are in a state or jurisdiction with a different requirement. When the law changes, the handbook does not have to. Your assigned HR manager looks up the current state rule at the moment the event happens and applies it. When an employee in California resigns, for example, California requires the final paycheck within 72 hours, while Georgia sets no deadline at all. Your HR manager knows the difference and handles it. 

Building a compliant handbook takes three to four weeks. We collect nine areas from you, including PTO, holidays, expense reimbursement, employment type, work locations, mission and culture, appearance standards, bereavement, and pay details. We run every trigger point through the state compliance spreadsheet, apply the evergreen language, and walk you through the result in a 30-minute review before you sign off. You review.
